What we’re looking for:

A full-time Project Administrator with 5+ years of administrative experience, preferably within a commercial/industrial general contracting firm to join in our success.  This is not a remote position. Candidate shall be located in the Jacksonville, FL area or relocating to the area.

What you’ll do:

  • Prepare and route construction contracts (subcontracts, purchase orders, and change orders) in our internal system to vendors and accounting department.
  • Daily Procore web-based project management applications.
  • Prepare monthly requisitions for Payment on Procore or Excel lien waivers for payment purposes.
  • Coordinate bids and assist with bid solicitations.
  • Type and prepare documents, such as Letters, Reports, Memos, Spreadsheets, and Meeting Minutes.
  • This work may entail producing confidential documents.
  • Prepare final documentation in written format. Careful editing and proofreading is required.
  • Maintain, compile, and process closeout documents, O & M manuals, and warranties at job completion. Provide front desk/reception support as required.
  • Maintain accurate submittal records.
  • Assist Superintendents with general project information, including travel arrangements as needed.

Additional Skills, Knowledge, Qualifications and Experience:

  • High school diploma or college degree.
  • At least 5 years of administrative experience, preferably with a commercial/industrial general contractor.
  • Task-oriented with an ability to manage multiple priorities in a flexible, supportive work environment.
  • Ability to work independently.
  • Ability to work in a fast-paced environment and have a strong sense of urgency to complete tasks in a timely manner.
  • Proficient in Procore (Project Administrator level), MS Word (Advanced level), Excel (Intermediate level), PowerPoint, Outlook, and other software necessary to perform job-related responsibilities.
  • Superior written communication and proofreading skills are mandatory.
  • Must be organized and detail-oriented.
  • Ability to establish and maintain effective working relationships with peers, supervisors, clients, and vendors.
  • Ability to work under deadline pressure and extra hours if needed on assignments.
  • Must be a team player and able to easily accept change.
