What we’re looking for:

We are seeking Front Desk Receptionst with 3+ years of front desk experience to join in our success.

What you’ll do:

Primary Function: The receptionist will be responsible for answering incoming calls, directing calls to appropriate associates, mail distribution, as well as additional clerical duties and backup for other administrative departments. The Receptionist is expected to have the switchboard open and operating promptly at 8:00 a.m. and throughout the day until 5:00 p.m. Relief switchboard coverage will be provided for a one-hour lunch, as well as morning and afternoon breaks of 10 minutes each.  The Receptionist is expected to represent Dana B. Kenyon Company in a professional manner both over the telephone and in person.

Essential Responsibilities: 

  • Professionally manage all incoming calls on multi-line telephone system and ensure phone calls are directed appropriately

  • Take and retrieve messages for various personnel

  • Greet guests in a professional and friendly manner

  • Provide callers with information such as company address, directions, jobsite phone numbers, company website, and other related information

  • Open and close reception area and common areas

  • Open, sort and deliver mail daily as well as send and accept special mail deliveries (UPS / Federal Express / US Mail)

  • Assist with other clerical duties such as copying, preparing correspondence, creating and maintaining basic spreadsheets, performing data entry, collating, ordering lunch and accepting lunch deliveries for company meetings

  • Other duties may be assigned to meet business needs

Ideal Candidate:

  • Punctual and professional in appearance with excellent phone etiquette

  • Customer service oriented with strong organizational skills

  • Able to multi-task and complete tasks with minimal supervision and accept direction from others as given

  • Able to work collectively with the administrative team associates

  • Able to interact with all employees, visitors, and vendors in a calm, professional manner even under stressful situations

  • Must be a team player and able to easily accept change

  • Must be able to lift up to 20 lbs of weight (for incoming packages)

Additional Skills, Knowledge, Qualifications and Experience:

  • High School Diploma
  • At least three years of experience in a professional office environment working with a multi-line telephone system
  • Working knowledge of MS Office (Word, Excel, Outlook) and PowerPoint at a beginner to intermediate level
  • Knowledge of UPS / Federal Express / US Mail Services
